What is Jotter?
A quick overview of what Jotter does and how it fits into your workflow.
1. What Jotter does
Jotter is a mobile app for service businesses and freelancers. It lets you track jobs, log time and materials, and send invoices, all from your phone.
Whether you're a sparky, a freelance consultant, a mobile mechanic, or anyone who bills for the work they do, Jotter replaces paper timesheets, spreadsheets, and manual data entry. You record what you do, and Jotter handles getting it into your accounting system.

2. The core workflow
The basic loop in Jotter is simple:
- Create a job — pick a customer and give the job a title or description.
- Add line items — these are the things you're charging for: hours worked, materials used, fixed-price tasks. Each line item has a name, quantity, unit type, and price.
- Track time — each line item has a built-in timer. Tap play when you start, stop when you're done. The timer updates the quantity automatically.
- Complete the job — when the work is finished, mark the job as complete. This sends an invoice to Xero with all the line items, quantities, and prices.
You can also create and send quotes before starting the work, then convert accepted quotes into invoices.

3. How it works with Xero
Jotter connects to your Xero account so your data flows between the two. Here's what syncs:
- Contacts — your Xero contacts appear as customers in Jotter. You can also create new customers directly in Jotter, and they'll sync back to Xero.
- Items — your Xero items (products and services) are available when adding line items to jobs. Prices, codes, and descriptions all come through.
- Invoices — when you complete a job, Jotter creates an invoice in Xero with all the job's line items. The invoice status (Draft, Submitted, or Authorised) is configurable in your company settings.
- Quotes — when you send a quote, Jotter creates a Xero Quote and emails the PDF to your customer.
Connecting Xero is optional but recommended. Without it, you can still use Jotter to track jobs and time — you just won't get the automatic invoicing.

4. Works offline
Jotter is built for the real world where you don't always have signal. All your jobs, line items, and timers work fully offline. When you're back online, everything syncs automatically.
Creating jobs, adding line items, starting and stopping timers — all of this happens locally on your device first. Changes are queued up and sent to the server in the background as soon as you have a connection.
The only things that need an internet connection are operations that talk to Xero directly: completing a job (to create the invoice), sending a quote, and connecting your Xero account.
5. Teams
Jotter is designed for teams. The company admin (usually the boss) sets up the company, connects Xero, and invites team members. Team members download the app, tap the invite link, and they're in.
There are three built-in roles — Company Admin, Team Leader, and Worker — each with different levels of access. Admins can also create custom roles with specific permissions for things like quoting, price visibility, and job access.
Admins can assign jobs to specific team members. Workers only see jobs assigned to them, while Team Leaders and Admins can see all jobs.

6. Available on iOS and Android
Jotter is available on both platforms. The experience is the same whether you're on an iPhone or an Android phone — same features, same workflow, same Xero integration.
