Offline-First: Why Your Job Tracking App Needs to Work Without Internet

By Jotter Team

The signal problem is real

If you have ever tried to load an app in a concrete basement, a new build with no cell tower in sight, or a rural property down a gravel road, you know the frustration. The spinner just keeps spinning. Your data does not load. The timer you started does not save.

Most "cloud-based" job tracking apps need a constant internet connection to work. That is fine in an office. It is useless on half the job sites in New Zealand.

What "offline-first" actually means

There is a difference between "offline mode" and "offline-first." Many apps offer an offline mode as an afterthought -- a read-only view that lets you see old data but does not let you do anything useful. When you reconnect, things sometimes sync and sometimes do not.

Jotter is built offline-first. That means:

  • Every feature works without internet. Create jobs, add line items, start timers, record materials, mark jobs complete. All of it. No connection required.
  • Data is saved locally first. When you tap "save," it saves to your phone immediately. There is no waiting for a server response.
  • Sync happens automatically. When your phone regains a connection -- whether that is driving back into town or connecting to site Wi-Fi -- Jotter syncs everything in the background. You do not need to do anything.
  • Conflicts are handled. If two people edit the same job while offline, Jotter resolves the conflict when both sync. No data is lost.

How it works under the hood

Every change you make in Jotter -- creating a job, starting a timer, adding a material -- gets queued as a sync operation. These operations are stored on your phone and processed in order when a connection becomes available.

The system uses version tracking to detect conflicts. If the server has a newer version of a job than what you synced, Jotter reconciles the differences. In practice, this means your team can work on the same job from different locations, even without signal, and everything comes together cleanly when they reconnect.

Why this matters for your business

If your team cannot track a job because the app does not work on site, one of two things happens: they forget to log it later, or they scribble it in a notebook and someone has to re-enter it. Either way, you lose accuracy or time -- often both.

With an offline-first app, your team tracks the job as they do it, regardless of where they are. The data is accurate because it was captured in the moment. And the invoice that lands in Xero reflects exactly what happened on site.

Where this makes the biggest difference

  • New builds -- no infrastructure, no cell coverage, no problem.
  • Basements and underground work -- drainlayers and plumbers working below ground level.
  • Rural properties -- lifestyle blocks, farms, and remote sites outside urban coverage.
  • Multi-level commercial sites -- signal often drops inside large concrete structures.

Try it yourself

Put your phone in aeroplane mode, open Jotter, and create a job. Start a timer. Add some materials. Turn aeroplane mode off and watch it sync. That is the test.
